Faster Quotation

Solar BOS RFQ Checklist

The information buyers can send to get faster SKU matching, lead time feedback, packing review, and export-ready quotation.

1. Product & BOM Details

Product category, model, or target specification
Quantity by SKU, project size, or container target
Voltage / current / material / coating requirements where applicable
Drawings, photos, previous supplier datasheets, or sample reference

2. Destination & Trade Terms

Destination country and nearest port or warehouse city
Preferred Incoterms: EXW, FOB, CIF, DAP, or DDP if available
Required delivery window or project deadline
Importer of record and customs document requirements if known

3. Technical & Market Requirements

Target market standards or utility requirements
Site environment: coastal, high wind, high snow, desert, or rooftop type
Compatibility notes: cable size, connector type, combiner box inputs, battery/inverter match
Any documents that must be checked before order confirmation

4. Packing, Labeling & QC

Carton label, pallet label, or private label requirement
Packing preference: carton, pallet, crate, mixed container, or full container
Inspection requirements: photos, video, sample check, third-party inspection, or loading supervision
Receiving constraints: forklift, warehouse unloading, maximum pallet size, or mixed SKU separation

Quick RFQ Template

This simple structure is enough for most first quotations. More detailed project documents can be added later during technical review.

Best practice: send one BOM file plus destination and Incoterms in the first message. It reduces back-and-forth and helps us check mixed-shipment feasibility.

For Mixed BOS Shipments

If the order includes mounting hardware plus PV cable, connectors, protection devices, combiner boxes, distribution boxes, or storage accessories, list all categories together. OmniSol can check whether items should ship together, separately, by carton, by pallet, or as a mixed container.

RFQ Questions Buyers Ask

What should be included in a solar BOS RFQ?

A strong RFQ includes the BOM or SKU list, quantities, destination country or port, Incoterms preference, technical standards, packing requirements, target delivery date, and any inspection or document requirements.

Can OmniSol quote a mixed order with mounting and BOS components together?

Yes. OmniSol can review mixed procurement for mounting hardware, PV cables, connectors, protection devices, combiner boxes, distribution boards, and selected storage accessories.

When should buyers mention certificate requirements?

Certificate and document requirements should be listed in the first RFQ so the quoted SKU, supplier, and model can be checked against the target market before order confirmation.

How do I prepare a quote-ready solar BOM?

A quote-ready solar BOM lists every line with four things filled in: the component and quantity, the rating (voltage/current/cross-section), the certification standard required for the destination market, and the IP/enclosure where relevant. Add the destination port, Incoterms and target date at the header. With those fields complete, suppliers can quote like-for-like instead of guessing — which is the difference between a BOM that gets one comparable quote and one that returns five incompatible ones.

What makes a solar BOM "not quote-ready"?

The most common gaps are: ratings missing (just "DC isolator" with no voltage/current), no certification standard named, voltage class stated only on some lines, accessories (glands, labels, grounding) omitted, and no destination or Incoterms. Each gap forces the supplier to assume — so the quotes are not comparable. OmniSol runs a system-logic review on every BOM to flag these before quoting.

What Makes Our Quote Stand Out

Most suppliers respond to your BOM line-by-line with prices. We do something different:

1.

System logic review

We check your BOM against system logic — flagging mismatches (e.g. 1500V cable on a 1000V inverter system) and missing items (e.g. DC isolator absent in a rooftop kit).

2.

Alternatives proposed

Where your specified part is in short supply or carries unfavorable lead time, we propose alternatives with the spec trade-off clearly noted.

3.

Cost category split

We split the quote into cost categories — main equipment, BoS, packaging, freight, DG handling — so you can identify which lines to negotiate or substitute.

4.

Per-category lead time

We disclose lead time per category, not a single project lead time. Panels may ship in 2 weeks; batteries with UN38.3 batch testing may take 4–5 weeks. You see the bottleneck up front.

Payment Terms

First-order cooperation

  • T/T: 30% deposit on order confirmation; 70% against Bill of Lading copy
  • L/C at sight: accepted for orders ≥ USD 50,000 (irrevocable, subject to issuing bank review)

Repeat customers: terms can be adjusted after the first completed order.

Not accepted on first orders

D/P, D/A, or post-shipment payment terms. This protects both parties on initial cooperation.
