Below is the document list from one real solar irrigation tender: a World Bank funded programme in Madagascar for 1,700 pumping kits. Twelve items, each of which a bidder had to supply before the offer would be evaluated at all.

One tender is one buyer. Other procurements ask for different things. This is useful as a worked example of what a serious buyer looks for, not as a checklist that applies everywhere.

Not twelve pages. Several of them are document families, and the bill of materials alone can run to dozens of lines per kit.

The pattern underneath the list

Read the twelve together and the same instruction repeats: prove it, do not assert it. Three examples make the point.

Not "the pump meets the duty"A signed curve with the duty point highlighted on it.
Not "the array matches the controller"A calculation showing the array stays inside the controller limits at both design temperature extremes.
Not "the modules are certified"The IEC 61215 and IEC 61730 certificates together with the test reports behind them.

That is the useful takeaway even if you never bid on this particular programme. A buyer who asks this way is not being difficult; they are protecting themselves from an offer that looks compliant on a specification sheet and is not.

Four that take longer than you expect

Eight of the twelve are a matter of collecting paperwork the factory already has. Four need someone to go and ask for something that is not routine.

Factories issue these, but not automatically and not always in the form a tender wants. Worth starting the moment you decide to bid, not the week before submission.

Most factories hand over a locked PDF. Getting the source file is a commercial conversation, and it is easier before the order than after.

Serial number traceability with a register template

Individually recording serials across a container of kits is real work at the packing stage. It has to be agreed with the factory up front or it does not happen.

A spare parts list with prices held

Straightforward to produce, but the price validity period is a commercial commitment, so it needs a decision rather than a document.

On manufacturer authorisation specifically

This is the item that most often stops a trading partner, and it deserves its own answer rather than a line in a table. What a sourcing partner can and cannot provide sets out plainly when a factory will issue one, how the letter should be addressed, and how a buyer can verify it is real.

What documents does a solar pump tender ask a supplier for?

What is a hydraulic evidence document?

A flow-versus-total-dynamic-head curve for the exact pump model, signed, with the project duty point highlighted on it. It is the document that proves the pump does what the specification asks at the point that matters, rather than at its catalogue maximum.

Why do tenders ask for editable manuals rather than PDFs?

Usually so the buyer can translate them into the local working language, which in francophone Africa means French. A locked PDF cannot be translated without retyping it. If a tender asks for source files, raise it with the factory early: it is a commercial conversation, not a technical one.

Can a trading company supply these documents?

Most of them, yes, because they originate with the factory and are passed through. The two that need real work are manufacturer authorisation naming the project and buyer, and anything requiring the factory to change its normal practice, such as editable manuals or per-unit serial registration. Those are worth starting early.

What is a kit nomenclature in a tender?

A complete bill of materials for each kit type, with manufacturer, model and part number on every line, down to clamps and connectors. It lets the evaluator check that what is offered is actually complete, and it is what the buyer will hold you to on delivery.

Which certificates are asked for on the PV modules?

IEC 61215 and IEC 61730, with the supporting test reports rather than just the certificate front page. Both are standard for crystalline modules from established factories, so this one is normally a matter of collecting paperwork rather than a risk.
